Once your guest list is set up and every guest has their code, somebody still has to stand at the gate. That part is not software and pretending otherwise is how events go wrong.
You have three options. Your own people, hired security who have never seen the platform, or a trained PrivePas team. Here is how to tell which one your event needs.
Your own people are fine when
You have someone reliable who is not also hosting. This is the whole test. A cousin who will stand at the entrance for the full arrival window, follow the process, and not abandon it when an aunty applies pressure. If that person exists, brief them and you are done.
The guest list is small enough for one gate. Under roughly a hundred and fifty guests, one prepared phone and one committed person handles it.
Nobody at the gate has social skin in the game. The reason family members struggle at a gate is not competence. It is that turning someone away has a cost they personally pay for years afterwards. If your gate person is going to see that guest at every family function until 2040, they will let them in.
Hired security without platform training rarely works
Worth saying because it is the common middle option and it is usually the worst one.
Guards hired for the day do not know your family, do not know your platform, and have no stake in your event beyond the shift. They either wave everyone through to avoid conflict, or they stop the wrong person and create the exact scene you were trying to prevent. Handing an untrained person a scanner link on the morning of your wedding is not a plan.
If you are going to use hired security, they need to be at your briefing, they need the scanner tested on their actual phone the day before, and they need one person to escalate to who is not you.
Bring in a trained team when
You are above two hundred guests at an open venue. Most Nigerian event centres and outdoor venues are approachable from several directions. At that size you need more than one gate, an overflow point, and someone coordinating between them. That is a team, not a person.
There are guests whose opinion of you has commercial value. Executives, public figures, press, or their people. They assess your gate in the first ten seconds and it colours everything after. A confident, fast, professional entry is a signal. A confused one is a different signal.
You want a neutral party making the call. This is the reason most hosts actually book it and it has nothing to do with headcount. An outside team can decline politely and walk away. Your sister cannot.
You are hosting and cannot also run operations. On the day you will be managing vendors, timing, family and a hundred small things. Owning the gate on top of that means one of them gets dropped.
What a trained team actually brings
Staff who already know the platform, so there is no learning curve on the day. Phones already prepared with your guest list, which is the step that determines whether scanning works when the venue signal is poor. A coordinator as your single point of contact, so you get one phone call rather than four. Queue management, which is a skill, not an attitude. And a briefed answer for every edge case before it happens rather than during it.
You still own the event completely. The guest list is yours, the rules are yours, and you watch every check-in on your own dashboard from wherever you are standing. The team enforces your decisions. They do not make them.
What drives the cost
On-site is quoted per event rather than listed as a flat price, because four things change it materially. How many gates you need staffed. How many hours the arrival window runs. Where the venue is, since out of state adds real logistics. And whether you need a coordinator, which we insist on above two hundred guests.

The honest summary
Most events do not need an on-site team. One reliable person with a prepared phone handles a small guest list perfectly well, and we would rather tell you that than sell you staffing you do not need.
What decides it is not guest count. It is whether the person at your gate can say no to someone they will have to face again.
